The answers are broad in nature and we would always encourage you to ask any question in person, it is surprising how many times a good question starts a great conversation.
How secure will our data be?
In a word, very. Our Cyber Essentials Certification demonstrates our commitment to the cyber safety of the personal data of every person and business that touches Pay-Nex. Our systems are robustly and independently tested, and we work closely with our IT partners, nTrust Systems.
What is included in your managed payroll service?
Our service includes everything from liaising with our clients to ensure that the take over process runs smoothly, processing the payroll and pension contributions, processing new starters and leavers, issuing of P45’s, uploading pension contributions to the pension provider, completing the Declarations of Compliance, tax year end processing, contacting HMRC when necessary on our clients’ behalf and making submissions to HMRC. And when surprises occur, such as the recent Coronavirus Job Retention Scheme – the Job Retention Bonus and the Job Support Scheme, we manage all the complex calculations and deal with any claims.
How complicated will it be to move our payroll and pension scheme over to Pay-Nex and what is the transfer process?
We make the process as seamless as possible, if you are transferring from another service provider we will deal with them directly once we have your authorisation and we have yet to encounter a professional company that does not respond appropriately to a polite request.
If you are moving to Pay-Nex from an in-house situation, we will take every bit as much care to act with complete professionalism and discretion in dealing with your team.
Is your service reliable?
We like to think that our 98% client retention over many years of service points to an exceptionally reliable service.
What happens about monthly reporting? We have a requirement for some complex reports.
Our service is capable of supplying reports of great complexity, of course we do not bombard clients with unnecessary detail, but please be aware that we can meet any reporting requirements that your business demands.
How transparent is your pricing?
We provide simple, transparent cost breakdowns for every aspect of our services, we communicate effectively and we never hit our clients with ‘nasty surprises’. In this, as with every other part of our operation we believe that clarity is the cornerstone of trust.
What will it cost to outsource my payroll to Pay-Nex?
This depends on the complexity of your precise requirements, ours is not a one-size fits all service but our costs are fair, transparent and competitive.
Can you provide a secure portal for my employees to access their payslips?
Absolutely, this makes it easy for your team to quickly access their payslips, P45’s P60’s and P11D’s. Our ePayWindow portal can be accessed from a mobile phone, tablet or PC 24/7. The portal can be branded with your company logo, as can the payslips.
What business sectors do you service?
We work with businesses in every imaginable sector, in fact it would be difficult to think of a type of business that we do not serve. Some sectors, such as construction and the service industries bring with them additional challenges, but as with every other business type, we take these in our stride. We also process payroll for a number of accountancy firms and their clients.
Do you provide P11D’s?
Where P11D’s and other year end documentation is required, we ensure that these are produced in good time following discussions with the individual companies knowing that each business has different P11D requirements
Do you offer a complete auto enrolment service to include uploading pension contributions to the pension provider and completing Declarations on behalf of clients?
Yes we do, in fact our Auto-Enrolment service is a key part of the Pay-Nex offering to businesses. We handle every aspect of the auto-enrolment process and more information about our service can be found on this section of our our website. We also manage opt ins and opt outs and deal with pension providers when appropriate.
